Elements of Project Management

Human resources

It is said that "behind every successful project, there is a team of people who did their best and behind a failed project, there is a failed project manager". Though the statement exaggerates responsibilities of project manager behind failure, it tells us about importance of team in making project successful. It is the team who do the work and so good people management skills is one of must-haves for a successful project manager.

A whole set of skills are needed in people management. Every PM has his/her own style of working with team members, for example some PMs make point to have regular formal status meetings whereas some will prefer to have it in more of an informal way. Eventually a good PM will be able to understand, to rightly motivate, and to groom the team members so as to get the best and predictable output from team.

Procurement/Hardware management

Work flow is smooth and predictable once project manager removes most (if not all) constraints or obstacles in the work. One constraint which tend to bother project manager throughout the lifecycle of project and which hampers the progress most is unavailability of infrastructure, hardware, or similar resources. Planning for procurement in advance, choosing reliable sources, risk management (having plan B) are some of the ways by which this constraint can be taken care of.

Responsibility management

More the number of stakeholders in project, more there are chances of overlap of responsibilities, creating ripples of misunderstandings disturbing the work flow ! At the same time, smaller number of stakeholders may lead to not all work items taken care of.

Project manager should ensure that appropriate and clear organisation - in terms of roles and responsibilities - is present among stakeholders. Also, it should be made sure that the roles and responsibilities are known to all stakeholders in an appropriate manner. For example, Product manager should be aware of person in the role of technical architect, but he/she need not be aware of roles and responsibilities of all team members.

A good PM will make sure that not only responsibilities are clear but also mutually agreed upon before being assigned to.

Customer management/support

Take any project from any field, importance of Customer management or Support can never be downsized. Whether we talk about project conception, delivery acceptance, or repeat business, focussed customer management is must.

Not all projects allow Project Manager to interface with customers; but PM should make an attempt to interface with customer as right customer relationship goes in long way in ensuring project success. Needless to say, customer appreciations matters most !!
